1. What is the ERG & Council Honors Award™?
The ERG & Council Honors Award™ is the premiere annual national award that recognizes, honors and celebrates the outstanding contributions and achievements of Employee Resource Groups and Diversity Councils. These groups lead the diversity and inclusion process within their organizations and demonstrate results in their workforce, workplace and marketplace.

Recipients of the award set the standards of excellence for ERGs and Diversity Councils in the U.S. The TOP 25 award recipients will receive their awards at the annual ERG & Council Honors Award™ Ceremony during the 2017 ERG & Council Conference October 6th at the Gaylord Palms Resort in Orlando, Florida.

2. Why was the Honors Award established?
In its ninth year, the ERG & Council Honors Award™ was established in 2008 by the Association of ERGs & Councils  a practice group of diversity and inclusion consulting and training firm PRISM International, Inc. Linda Stokes, President & CEO of PRISM said, "Our firm assisted organizations with their diversity and inclusion initiatives. We recognized the important contributions and impact that ERGs and Diversity Councils had on their organizations; yet, for all their great efforts there was little national recognition. We wanted that to change."

PRISM created a specialized practice - the Association of ERGS & Councils – to be the premier resource for ERG, BRG and Diversity Council professionals.

Fernando Serpa, Executive Director of the Association of ERGs & Councils remarked, "Our intent is to enable ERGs and Diversity Councils to use this application as a way to learn what they are doing well and how they can continue to improve their impact."

3. Who may apply for the award?
The application is open only to U.S. based Employee Resource Groups (ERGs) and Diversity Councils in operation for at least two (2) years.

ERGs and Diversity Councils complete and submit an online application of 59 questions that evaluates their impact on their organization over the past 12 months (2016). Award applicants are evaluated on contributions and achievements in these four categories:

  1. Demonstrated Results
  2. Demonstrated Management Commitment
  3. Measurement and Accountability
  4. Communication and Education

Applications from multiple ERGs, BRGs and Diversity Councils within one organization are permitted with the following two clarifications:

  1. A Diversity Council may submit one application representing multiple Diversity Councils and/or ERGs that operate under and report to it and that have been in operation for at least 2 years. Each Council and ERG involved will need to be identified. Individual Diversity Councils and ERGs included in the Application may not apply separately.
  2. Multiple ERGs may apply as one Diversity Council providing they operate and report to the Diversity Council and have been in operation for at least 2 years; otherwise, ERGs must apply separately.
  3. A Diversity Council and/or ERG may submit one application representing its multiple chapters that operate under and report to it and that have been in operation for at least 2 years. Each Chapter will need to be identified. Individual Chapters included in the Application may not apply separately.

4. Is there a fee to complete an application?
No. There is no fee required to complete an application.

5. Does an ERG or Diversity Council have to be a member with the Association of ERGs & Councils in order to apply for the Honors Award? 
No. This is an open application process. Membership with the Association is not required.

6. What is the opening and closing dates for completing an application?
The 2017 online application opens February 21st and closes June 29th at 9pm ET.

7. What if I don’t complete the application in time?
If your application is not submitted by June 29th, 2017 by 9pm ET then you will miss the opportunity to be considered for the Honors Award. In fairness to all applicants, no extensions can be granted and no late applications will be accepted.

8. What are the ERG & Council Honors Award criteria?
Award applicants are evaluated on contributions and achievements that truthfully and accurately reflect the work of their ERG/Council over the last 12 months (2016) in these categories:

  1. Demonstrated Results
  2. Demonstrated Management Commitment
  3. Measurement and Accountability
  4. Communication and Education

9. How long does it take to complete an application?
The time to complete will vary based upon each ERG/Diversity Council. Application entry is short (59 questions) but it will take time to collect the information and form it into impactful responses. Retrieve all information prior to answering the online application. Type responses for essay questions into a Word document or notepad then copy and paste it into the online application essay boxes.

10. Am I able to review a digital version or printed version of the application prior to starting the online application?
Yes. You are strongly encouraged to download the PDF version of 2017 ERG & Council Honors Award™ Application by clicking on this link: 2017 ERG & Council Honors Award™ Application PDF AND downloading the PDF.  Once downloaded, you can enter your responses into the form boxes and text boxes but not in the radio buttons (multiple choices). Once you have completed filling in the PDF, you can then convert it to a WORD document, spell check and make any corrections.  To convert the PDF document, open your PDF Application.  Locate "File" at the left top of your screen and click on it. Next, select "Export To", then select "Microsoft Word" and then "WORD Document" and save.

11. How do I access the online application?
The system for this application process requires that the application be completed on the same computer and browser upon which it was started. You must have a direct link connection from your computer to the internet. Please do not use an indirect link connection by going through a remote server as this will not work. If you leave the application and need to complete it later, you will need to do so using the same browser on the same computer on which you began the application process. You can work only one application on your computer at a time. Once you have completed and submitted one application, then you can clear your "cookies" (refer to FAQ #17) and then begin working on your next application. The Application may be accessed by going to the Honors Award Application Page and clicking on the "BEGIN/RESUME APPLICATION PROCESS" link.

12. In order to ensure that you receive Application and Conference relevant email notifications, please add "@PrismDiversity.com " and "@ERGCouncil.com" to your email acceptance lists. If you don't, it is possible that you may not receive your Application confirmation message.

13. How can I spell check my responses?
The online Application is hosted on the SurveyMonkey platform does not support spell-check. You are strongly encouraged to download the PDF version of 2017 ERG & Council Honors Award™ Application by clicking on this link: 2107 ERG & Council Honors Award™ Application PDF AND downloading the PDF. Once downloaded, you can enter your responses into the form boxes and text boxes but not the radio buttons (multiple choices). 14. Can I start my application on one computer or browser and complete it on a different computer or browser?
No. The system for this application process requires that the application be completed on the same computer and browser. If you leave the application and need to complete it later, you will need to do so using the same browser on the same computer on which you began the application process.

15. How do I save my responses on the online application page?
Your responses are saved on the application page ONLY AFTER selecting the "Next" or "Previous" button at the bottom of the page or the "Done" button at the end the application. You can exit the browser at any time prior to completing the application and your work will be saved. When you return to your incomplete application, your application will appear on the page after the page you last completed and saved when you pressed "Next".

16. Can I stop work on my application, have it saved and resume later?
Yes. You can stop anytime and resume later. The system saves responses through a "cookie". You can exit the browser at any time prior to completing the application and your work will be saved. When you return to your incomplete application, your application will appear on the page after the page you last completed and saved when you pressed "Next".

17. What are Cookies?
Cookie technology addresses the need to keep track of information entered at a site. When you submit the application, the site can associate that information with you as you travel through the site's pages. Otherwise, every time you clicked on a different page in the site, establishing a new connection, the site would lose the information in reference to you, forcing you to re-enter it. Cookie contents are encrypted and are only readable by the site that placed them.

WHILE WORKING ON YOUR FIRST APPLICATON - DO NOT CLEAR YOUR COMPUTER'S BROWSER DATA AND DELETE COOKIES OR YOU WILL LOSE ALL THE INFORMATION YOU ENTERED INTO THE APPLICATION AND YOU WILL HAVE TO START OVER.

BEFORE STARTING YOUR SECOND APPLICATON - YOU MUST CLEAR YOUR COMPUTER'S BROWSER DATA AND DELETE ALL COOKIES BEFORE YOU WILL BE ALLOWED TO ACCESS THE APPLICATION.

18. How can I get back into my "saved" application?
Yes. As long as you are on the computer on which you started the application, you may access the application simply by clicking the "Begin/Resume Application Process" button on the Honors Award Application page. Once you complete and submit the application by clicking "DONE", you will not be able to access your completed application. To clear your cookies, you will need to go to your internet settings and delete your cookies.

19. Can I work on multiple applications concurrently?
No. You can work only one application on your computer at a time. Once you have completed and submitted one application, then you can clear your "cookies" (refer to FAQ #17) and then begin working on your next application. The Application may be accessed by going to the Honors Award Application Page and clicking on the "BEGIN/RESUME APPLICATION PROCESS" link.

20. How can I share the Application with other team members and with my superiors for them to review and signoff?

21. How Can I get a Copy of My Submitted Application with all My Responses?
Once you've submitted your completed application you will not be able to access it. However, if you request, a PDF version of your completed Application can be emailed to you. Request your copy by emailing Application Questions and stating your request. Please note that you will receive your completed Application in your complimentary 2017 ERG & Council Honors Award™ Application Summary Report in October.

22. How Can I print my application with my responses prior to submitting it?
Before you've submitted your completed application, you can select "previous" or "next" at the bottom of the application page to select the page you want to print. Then right click to display a menu and select 'print". When the next menu displays select "print" again. Perform this procedure for each page you wish to print. NOTE: When printing your application page(s), if some of your answers does not display then see #23 below. You can request a PDF version of your submitted completed Application be emailed to you. Request your copy by emailing Application Questions and stating your request. Please note that you will receive your completed Application in your complimentary 2017 ERG & Council Honors Award™ Application Summary Report in October.

23. When printing my application page(s) some of my answers do not print. What can I do?
Anyone can print a page from the web browser using their browser's File Print menu option. If the check marks next to the selected answers are not visible on the printed copy, then adjust the print setting in your browser as follows:

  • Internet Explorer:
    • In the browser go to the Internet Options.
    • Go to the Advanced tab.
    • Under printing make sure Print Background Colors is checked.
    • Save the settings.
  • FireFox:
    • Click on the File prompt in the menu header.
    • Select Page Setup.
    • Under the Format and Options tab, make sure a check mark is ticked under the Options for Print Background (Colors & Images).
    • Save the settings.
  • FireFox on a Mac:
    • Click on the File prompt in the menu header.
    • Next, select Print. The printing prompt will open.
    • Make sure that Firefox is selected in the Presets dropdown menu choice.
    • Under the Appearance options, make sure a check mark is ticked for Print Background Colors.
    • Click Print when you are finished.
  • Google Chrome:
    • This functionality is not available. In order to view all your selected responses in print, use one of the browsers mentioned above.

24. What is the 2017 ERG & Council Honors Award™ Application Summary Report?
The 2017 ERG & Council Honors Award™ Application Summary Report is a complimentary report provided to all applicants. This report provides their group with feedback and information that will enhance their performance and increase their value to the organization they serve. Application results are compared and contrasted with those of the TOP 10, TOP 25 and all applicants. These reports are issued to the application contact shortly after the October ERG & Council Honors Award™ Ceremony.

25. How do I know for sure my completed application was received?
Once you press the "I Accept" button, you will immediately receive a "Your Application was Received" message page. Your application is now closed and no longer accessible. If you do not receive immediate notification, email Application Questions and request a notification.

26. I completed and submitted my Application; however, I did not receive an immediate email confirmation.
Once you press the "I Accept" button, you should immediately receive a "Your Application was Received" message page. Your application is now closed and no longer accessible. It is possible that your organization's spam filters has blocked the confirmation email (see FAQ #12). Please add "@PrismDiversity.com " and "@ERGCouncil.com" to your email acceptance lists so that you will receive Application and Conference relevant email notifications. You can email Application Questions and request a notification.

27. What if after completing and submitting my Application I would like to make changes to my Application?
Once you press the "I Accept" button, your application is now closed and no longer accessible. If you choose to make corrections after you have submitted your Application, then you will need to create and submit a new Application and notify us by email at "award@ergcouncil.com" to disregard your previously submitted Application.

28. How will I know if our ERG/Diversity Council earns a spot among the TOP 25?
The person listed as the Authorized Contact on the application will be notified of their status within 6 weeks of the June 29th application closing.

29. How will our Application data be used if our ERG/BRG/Diversity Council IS announced as a TOP 25 recipient?
There are 3 things:

  1. the name of your ERG/Diversity Council (Group) and your Organization will be used by PRISM International, Inc., the Association of ERGs & Councils or by any media or press covering the Honors Awards as being named a TOP 25 Honors Award recipient.
  2. photos and/or video taken of your ERG/Diversity Council (Group) and your Organization at the Honors Award event may be used by PRISM International, Inc., the Association of ERGs & Councils or by any media or press covering the Honors Awards as being named a TOP 25 Honors Award recipient..
  3. a very small portion of your application responses will be used as best case examples to honor your ERG/Diversity Council (Group) and your Organization from the podium at the Honors Award TOP 25 Award Ceremony and may be used in print in the 2017 Best Practices Book.

30. How will our Application data be used if our ERG/Diversity Council IS NOT announced as a TOP 25 recipient?
Nothing is used. No one will know that your ERG/Diversity Council (Group) and your Organization had applied.

31. What is the application evaluation and communication process?
When you hit the "Submit " button at the end of your application it takes about 45 days before you receive notification of your results. Here's why:

  1. The application is submitted to a database where it sits until the application closes.
  2. Judges (diversity and Inclusion professionals independent of the process) review each applications' open ended responses and scores them based on set criteria..
  3. Each applicant receives a personal call from the Director of the Association of ERGs & Councils to inform them of their status.
  4. Once all applicants have been called, then a notification email is sent and a notification letter is mailed. A press release is issued and emailed announcing the TOP 25 recipients.
  5. The TOP 25 recipients are honored and awarded and their rankings reveled at the seventh annual 2017 ERG & Council Honors Award™ Ceremony during the 2017 ERG & Council Conference Ocotber 6th at the Gaylord Palms Resort in Orlando, Florida.
  6. The 2017 ERG & Council Honors Award™ Application Summary Reports are emailed to all applicants one to two weeks after the Conference. 

32. When will the awards be announced?
The TOP 25 award recipients will be announced and awards presented during the evening awards dinner and celebration during the 2017 ERG & Council Conference October 6th at the Gaylord Palms Resort in Orlando, Florida.
